Privacy — Synaps for Microsoft Teams
Last updated: 28 September 2026
1. Roles
The customer who installs the app is the controller of its staff’s data. 03 plates-formes Sàrl, Route de Massongex 4, 1880 Bex (VD), Switzerland, processes it on the customer’s behalf, as a processor. This processing follows the contract and the data processing agreement concluded with the customer (art. 9 FADP).
2. Data processed
When you use the app, we process:
- the text of your messages to Synaps, and the answers;
- the identifiers Microsoft passes to us to recognise you and apply your access rights: the identifier of your organisation and of your account, your Microsoft sign-in name, your name, your work e-mail address and the type of your account (member or guest);
- the content of the sources the customer has connected, to the extent needed to answer your question, and only those you are allowed to view;
- technical logs needed to run and secure the service: date, time and errors, and, for each search in the documents, your e-mail address and the search query drawn from your question, and, if the citations cannot be formatted or the model returns an error, an excerpt of the answer or of the documents used;
- the link between a Teams conversation and your organisation (identifiers, no content).
3. Purposes
This data is used only to answer your questions, to apply your access rights, and to keep the service secure and working properly. We do not use your content to train artificial intelligence models, nor for advertising.
4. Where the data is processed
Synaps and the artificial intelligence model it uses run on servers in Switzerland, at Infomaniak. Teams messages pass through Microsoft’s infrastructure (Microsoft Teams and the Azure Bot service), which Microsoft operates under the customer’s own contract with Microsoft.
5. Retention
The app keeps no permanent conversation history. A conversation’s context stays in memory for up to 15 minutes after the last exchange, and never more than the last three exchanges, to understand follow-up questions. Technical logs stay on the server that runs Synaps for the customer and are passed to no third party. The customer can ask for their deletion at any time.
6. Your rights
To ask for access to your data, its correction or its deletion, contact your employer, who is the controller; we help them respond. You can also write to us at contact@dexo.ch.
7. Security
Exchanges are encrypted (HTTPS). The app checks that every message really comes from Microsoft and from the customer’s organisation, and accepts only members of that organisation.
8. Changes and contact
The date of the last update is shown at the top of the page. For any question: contact@dexo.ch.
